How ATS scoring actually works (simplified)
ATS tools extract:
- Job titles and dates
- Skills and tools
- Education and certifications
- Keyword overlap with the posting
Recruiters then search and sort inside the same system. Your goal is parseable structure plus relevant keyword coverage, not a graphic design award.
Formatting rules that survive parsing
| Do | Avoid | | --- | --- | | Standard section headers (Experience, Education, Skills) | Tables for layout | | Plain bullet characters | Icons instead of text | | PDF exported from Word/Google Docs | Canva-only image resumes | | Full job title spelled out | Unexplained acronyms only |
Keep contact info in the document body, not only in a header graphic.
Where to place keywords
- Skills section - Mirror exact phrases from the JD (e.g. "PostgreSQL" not only "SQL")
- Experience bullets - Verb + skill + outcome
- Summary - One line role target + top three skills
Example bullet:
Reduced API p95 latency 35% by migrating cache layer to Redis and tuning Node.js workers.
Role-specific keyword clusters
Backend engineer: REST, gRPC, PostgreSQL, Kafka, AWS, observability, CI/CD
Frontend engineer: React, TypeScript, accessibility, performance, design systems
Data analyst: SQL, dbt, Looker, experimentation, stakeholder reporting
Product manager: roadmap, discovery, OKRs, B2B SaaS, GTM alignment
Pull the top ten nouns from the posting you are applying to and ensure at least seven appear once in context.
The 10-minute resume pass before you apply
- Open the job description side-by-side with your resume
- Highlight missing hard skills you actually have
- Add them to Skills or one experience bullet each
- Remove skills you cannot defend in an interview
- Export a fresh PDF with a filename like
FirstLast_Role_Company.pdf
ATS + humans
Passing ATS gets you in the pile. Recruiters still spend seconds on first scan. Lead bullets with outcomes, not responsibilities.
